From Siloed Data to Strategic Advantage: A Salesforce Modernization Success Story

Our client, a leading firm in the government and technology sector, struggled with ever-increasing licensing fees from third-party AppExchange apps. Crucial data from separate databases and websites lived outside of their Salesforce environment, leading to missed opportunities. Every workflow adjustment resulted in costly customization fees and delays. The company desperately needed help ensuring clean, updated data, and real-time Salesforce updates.

Challenges Solutions

High TCO (Total Cost of Ownership)

The client was locked into a third-party AppExchange product with escalating licensing fees that did not scale with their team size.

Custom-Native Build

By moving to a custom-native build, we handed full control back to the client. The solution was designed to be easily modifiable by their internal Salesforce Admin, removing the need for third-party developers for daily maintenance and significantly reducing long-term costs.

External Data Silos

Crucial data from SAM.gov and GovWin lived outside of Salesforce. Sales teams were forced to manually cross-reference these platforms, leading to stale data and missed updates.

Real-Time API Integration (SAM.gov & GovWin)

Instead of manual data entry, we developed custom integrations to pull real-time data directly from government platforms. This ensured that every RFP change, deadline extension, and new opportunity was instantly reflected in the Salesforce record.

Lack of Role-Based Clarity

The system offered a one-size-fits-all view. Individual contributors couldn’t filter for their specific tasks, while leadership lacked a consolidated Executive Pipeline view.

Optimized Filtering & Role-Based UX

Built role-specific Salesforce List Views and “Pipeline Health” dashboards highlighting deadlines, win/loss trends, and key metrics like PWin and PGo.

Vendor Dependency

Even minor workflow adjustments required expensive vendor intervention, preventing the organization from being agile in a fast-moving government market.

Centralized Opportunity Lifecycle Management

Built a structured pipeline tracking opportunities from identification to final decision, centralizing milestones and eliminating external records to save hours weekly and speed decision-making.
